Let’s talk about something that has played a big part in my entrepreneurial journey: the magic of Google Workspace. I’m kind of obsessed. When I first started my business, I found myself juggling a lot of different tools. It felt like trying to bake a cake without all the ingredients—frustrating and messy. Then, I discovered Google Workspace, and it was like finally having everything I needed. It all just clicked and the process became smooth.

If you’re a solo entrepreneur or running a small team, you already have a lot on your plate. And, in the spirit of transparency (because we’re all about keeping it real here), let me confess: I have spent way too much time trying to stay organized instead of doing the things that really mattered. That’s when Google Workspace swooped in like a superhero.

If you’ve ever spent way too much time emailing back and forth to schedule a meeting, you know how draining it can be. That’s why I love Google Calendar’s built-in appointment scheduling feature—it’s a real game-changer for entrepreneurs trying to stay on top of their busy schedules.

With Google Calendar, you can create an appointment schedule directly within the platform. Whether you’re booking discovery calls with potential clients, follow-up meetings, or any other type of appointment, you can set up specific times you’re available. Then, you just share the link and let clients or collaborators pick a time that works for them. No more juggling third-party scheduling tools like Calendly or Acuity—it’s all right there in Google Workspace.

How It Works:

You can set up your appointment schedule by simply going to your Google Calendar, selecting the day, and choosing “Appointment schedule.” From there, you can customize your availability—whether it’s for one-off meetings or recurring slots—and decide how much buffer time you need between calls. You can even add Zoom or Google Meet links directly to your appointments so everything’s ready to go.

Here’s the best part: the appointment scheduling link can be embedded on your website or shared in an email. This makes the booking process completely streamlined for your clients. It’s easy for them, it’s easy for you, and it saves you valuable time that can be spent on growing your business.

Calendar Bonus Tip: If your significant other also uses Gmail, even for personal use, you can share calendars so you’re both on the same page. No more having to ask each other when someone forgets what date something is happening. 

Gmail Tips

Oh, email. The never-ending flood of messages that can easily become overwhelming. But with Gmail’s features like labels, filters, and integrations, you can actually keep your inbox manageable. I’ve set up filters that automatically sort some emails into their own folders to help things not get lost. It’s like having a personal mailroom assistant.

If you’re not scheduling emails to send later (during business hours!) get ready to love it. Clients don’t need to know they can get a hold of you on a Sunday. Schedule the email to send Monday morning and forget about it! Another email hack is Gmail’s “Snooze” feature. You can literally hit snooze on emails you don’t want to deal with yet. These are game changers!

Google Forms: Streamline Your Client Intake and Feedback Process

Let’s talk about Google Forms—a super underrated tool that can make your client intake and feedback process a breeze. I’ve used Google Forms to create everything from client questionnaires to post-project feedback forms, and it’s saved me so much time. Instead of back-and-forth emails trying to gather details, or using a separate paid software you can send a clean, organized form with all the right questions upfront.

For example, when you onboard new clients, you can send them a questionnaire through Google Forms to learn more about who they are, their goals, preferences, anything else you need to work with them. It helps gather all the important info in one go and clients will appreciate how easy it is. Plus, it’s customizable—add your own branding, adjust the form’s layout, and even set up automatic responses. It’s like having a personal assistant to collect all the details you need, without lifting a finger.

Bonus Tip: Google Forms can also be used for gathering feedback at the end of a project. If you’re like me and always looking to improve (or just want to make sure your clients are happy), a quick feedback form can work wonders. Plus, it shows that you value your clients’ opinions, which helps build lasting relationships.

Google eSignatures: Simplifying Contracts and Approvals

Now, let’s talk contracts. One of the things that used to really slow me down was getting contracts sent out. But with Google’s eSignature tool through Google Docs, I can send and receive signed documents without the hassle of editing in Google Drive, downloading, reuploading and then sending it out. It’s a real time-saver, and the process is so smooth.

Here’s how it works: draft your contract or agreement in Google Docs, go to Tools > eSignature, enter the details, and send it off. They can sign directly from their device, and boom—done! It’s legally binding, secure, and way faster than using a third-party. You’ll never look at contract-signing the same way again.

Pro tip: You can use eSignatures for more than just contracts. If a client needs to approve a proposal, you can send over a document with a request for a signature. It makes the approval process feel more official and organized, plus clients love the convenience.
